How to move from Excel and e-mail to a professional tool

CS

Excel and e-mail work as long as the work is small. The moment you start looking for which version of the spreadsheet holds the current status, it is time to switch - and it does not have to be painful.

1. Do not start by moving everything at once

Pick one active project and move only that first. The rest of the history can stay archived in Excel - you do not have to migrate years back.

2. Set up the structure the way you already work

Name projects, folders and tasks the way the team already understands them. The new structure should not be a revolution, just a clearer version of what already works.

3. Assign roles right at the start

Before the team starts using the new tool fully, decide who is the owner, who is an admin and who is a regular member. It saves reorganising later.

4. Allow two weeks of parallel running

A short transition period during which the old spreadsheet is still checked reduces the stress of something "falling through" between systems.

5. Try it without commitment

KoraGate has a 14-day trial without having to enter a card - you have time to check whether it suits you before you decide for good.
